Generic credit note makers give you a blank document. But a proper credit note references the original invoice it corrects and records the reason — returned goods, an overcharge, an agreed reduction — so your records (and your VAT) stay straight.

How to raise a credit note

Three steps to a credit note that ties back to the invoice.

Reference the invoice

Add your business and the customer, a credit note number, and the number of the original invoice you're crediting.

Say why, and what

Record the reason for the credit, then list the items and amounts being credited. Switch VAT on if you're registered.

Download and send

Download the PDF or Word file and send it to the customer. It shows the credit as a reduction of what they owe.

Credit vs refund

A credit note isn't a cash refund

They do different jobs — and the tool is clear which this is.

Credit note

“You don't owe me as much as I first said.” It reduces the amount outstanding on the invoice, or sits as credit against future work.

Refund

“Here's your money back.” An actual payment returned to the customer. A credit note documents a reduction; it doesn't move cash by itself.

VAT

Reversing VAT on a credit note

If you charged VAT on the original invoice, the credit note must reverse the VAT on the amount you're crediting — otherwise your VAT records won't reconcile.

Switch VAT on and pick the rate, and the tool shows the VAT credit alongside the amounts, so the reversal is correct. If you weren't VAT registered, no VAT is shown.
