Most free invoice makers are generic and international. They'll happily let a sole trader add a "tax %" they shouldn't be charging, and they don't know a sole trader from a limited company.
This one is built for UK self-employment. It only adds VAT if you say you're registered, it asks for the right business details for a sole trader or a limited company, and it can add the statutory late-payment interest wording you're entitled to.
How to create your invoice
Three steps from blank to a downloadable invoice.
Tell it who you are
Sole trader / self-employed, or a limited company. It then asks for the details that type of business must show — a trading name for a sole trader, a company number and registered office for a limited company.
Add your items and VAT
List what you're billing with a quantity and price. If you're VAT registered, switch VAT on and pick the rate; if you're not, no VAT is added — the way it should be.
Download and send
Add payment terms and your bank details, optionally add late-payment interest wording, then download a free A4 PDF or an editable Word version.
Should you add VAT to your invoice?
Only if you're VAT registered. If your turnover is under the VAT registration threshold and you haven't registered voluntarily, you must not add VAT to your invoices — and you don't put a VAT number on them.
Generic tools give you a free "tax" box and let you charge VAT you're not entitled to. Here, VAT is a switch: leave it off and the invoice simply shows "Not VAT registered"; turn it on to add your number and pick the rate. If you do construction work under CIS or the reverse charge, use the dedicated tool instead.
What a valid UK invoice must include
Every invoice needs these. A VAT invoice needs a few more — this tool lays them out either way.
Sole trader or limited company — the details differ
The two show different information on an invoice. Pick the right one and the tool asks for the right fields.
Sole trader / self-employed
Show your own name, any trading name ("t/a Smith Plumbing"), and your address. No company number — you're not a company.
Limited company
Show the registered company name, the company registration number and the registered office address, as required for a limited company's invoices.
You can charge interest on a late invoice
When a business customer pays late, UK law lets you charge statutory interest — 8% plus the Bank of England base rate — plus a fixed recovery sum of £40, £70 or £100 depending on the size of the debt, under the Late Payment of Commercial Debts (Interest) Act 1998.
No generic invoice maker mentions this. Tick the box and the tool adds the correct wording to your invoice, so late-paying customers know the position from the start.
