Generic purchase order makers give you one address. But a trade orders materials from a supplier to be delivered to a job or site — a different place from where the invoice goes.
This PO has a separate “deliver to” field for the site, alongside your business and the supplier — so the delivery lands in the right place and the paperwork matches.
How to raise a purchase order
Three steps from blank to a numbered PO you can send.
Add the supplier and where it goes
Your business, the supplier you're ordering from, and the delivery address — the site, if it's not your own address.
List what you're ordering
Each item with a quantity and agreed price, plus a PO number and a required-by date. Turn VAT on if you want it shown.
Send it and receive against it
Download the PDF or Word file and send it to the supplier. When the goods arrive, check them off against a delivery note.
A purchase order isn't an invoice
They're different documents at different ends of the order.
Purchase order (you → supplier)
Your instruction to buy: what you want, how many, the agreed price and where to deliver. It commits you to the order.
Invoice (supplier → you)
The supplier's request for payment after they've supplied the goods. It references your PO number so both sides can match them up.
Give every PO a unique number
A purchase order number is just a unique reference for the order — PO-001, PO-002, or a job-based scheme. Suppliers quote it back on their invoice and delivery note so everything for that order ties together.

The PO starts the order. When the materials arrive, a delivery note records what actually turned up (and whether anything was short or damaged). The supplier's invoice then bills the PO.
Keeping the three linked by the PO number means you can check you were delivered — and billed — exactly what you ordered.
