Most delivery note templates only cover one thing: a supplier shipping goods to a customer. But trades need two documents that look almost identical — a delivery note for materials dropped on site, and a handover note to sign off finished work.

Choose the note type

Why a delivery note shows quantities but not prices
This is the point most generic templates get inconsistent on — some add a price column, some say never. The rule is simple: a delivery note records what physically arrived so the recipient can check it against their order. The value is billed separately, on the invoice.
Putting prices on a delivery note blurs the two documents and invites disputes about what was agreed. This tool has no price column at all — instead you link the note to the order or job with a reference, and the money stays on the invoice where it belongs.
The signature is the whole point
A delivery note earns its keep the moment it's signed. That signature is your proof of delivery — evidence the goods arrived and were accepted, or that the work was handed over and signed off.
Record who received it, the date, and the condition on arrival. If the customer later says something was missing, damaged or never delivered, the signed note — with all three captured — is the record that settles it.
Record short or damaged deliveries before you sign
Almost no template gives you a place to log a problem at the point of delivery. This one does — because that signed note is your dispute record.
Received in full
Everything on the note arrived and was accepted. The signature confirms it — a clean record, nothing outstanding.
Short delivery
Some items are missing or the counts don't match. Note exactly what's short so it's agreed before signing, then follow up.
Damaged on arrival
Goods arrived damaged. Record which items and how, so the claim is documented at the door — not disputed weeks later.
Delivery note, handover note, or handover certificate?
Three terms people mix up. Here's the difference — and one important limit.
Delivery note
Records goods or materials delivered to a customer or site, with quantities and a signature for proof of delivery.
Handover note
Signs off completed work with the customer — a plain acceptance record that the job was finished and handed over.
Not a regulated certificate
A handover note is a sign-off document, not a regulated certificate. An EICR, gas safety or building-control certificate can only be issued by a qualified, registered person.
