Search 'O&M manual template' and you get long guides that list the sections, a Word template for a few dollars, an Etsy file, a Scribd upload behind a subscription, a generic office manual editor, and software companies selling digital handover. None of them lets a small contractor type the job in once and print a proper pack — and none mentions the rule that makes it matter for heating and electrical work.
This template builds the whole manual from one set of answers. Pick what you installed — electrical, a gas boiler, a heat pump, solar PV, an EV charge point — and the usual maintenance tasks and certificates are added for you to edit. The equipment schedule, maintenance table and certificate register print together, after a cover and contents, as one paginated A4 pack.

Project
Pick the systems installed, then the project, site, client, dates, your company and the contacts — installer, manufacturers, the service company.
Installation and equipment
What was installed, what it does and where it is; then one card per item — make, model, serial number, location, installed date and warranty end.
Use and maintenance
How to operate it, where to isolate it in an emergency, the maintenance schedule with how often and by whom, and spares, drawings and health and safety.
Certificates and handover
The certificate register, warranties and guarantees, and the handover signatures — yours and the client's.
For heating and energy work, the information is a Building Regulations duty
Where the work is covered by requirement L1 of the Building Regulations — heating and hot water systems, and other fixed building services that use energy — regulation 40 of the Building Regulations 2010 requires the person carrying out the work to give the owner sufficient information about the building, the fixed building services and their maintenance requirements, no later than five days after the work is completed. Approved Document L expects that information to be clear, specific to the building and to include commissioning records where relevant.
The O&M manual is not the CDM health and safety file. The health and safety file, under regulation 12 of the Construction (Design and Management) Regulations 2015, holds information needed for the safety of future construction work and is required where a project has more than one contractor. The current industry guidance on handover information is BSRIA BG 79/2020.
The twelve sections it prints
Each adds its usual maintenance and certificates — all editable
Electrical installation
Six-monthly RCD and SPD checks for the occupier, periodic inspection and testing by a registered electrician; the EIC and the Building Regulations compliance certificate.
Gas boiler and heating
Annual service by a Gas Safe registered engineer, pressure checks and bleeding radiators; the Benchmark commissioning checklist and compliance certificate.
Heat pump
Annual service, keeping the outdoor unit clear, pressure and fault-code checks; the MCS certificate, commissioning record and EIC.
Solar PV, battery and EV charging
Monitoring and visual checks, inspection by the installer; the MCS certificate, EIC and DNO notification.
The pack the certificates go into
The manual lists the certificates and the certificates go behind it. The electrical installation certificate, minor works certificate and schedule of test results are free here too, as is the handover note for the day you hand the keys back.
You install and hand over. We supply the pack.
This tool lays out the manual and prints it. It does not know what you installed beyond what you type, and the maintenance tasks it suggests are the usual ones, not the manufacturer's instructions for the product you fitted — check them against the manuals and edit them.
It is not the CDM health and safety file, and it does not replace the certificates themselves: list them in the register and put the copies behind the manual.
