Most VAT invoice templates give you a nice layout but miss the details that make it a valid VAT invoice — the tax point, a VAT breakdown by rate, and the difference between a full and a simplified invoice.
This is built to HMRC's element list, so what you download is actually compliant, not just tidy.
Every element HMRC requires
Which VAT invoice do you need?
Full VAT invoice
The standard — all the elements, VAT shown per rate. Use it for most B2B supplies.
Simplified
Allowed for retail supplies of £250 or less — fewer fields, VAT-inclusive prices with the rate shown.
What a ‘tax point’ is
The tax point (time of supply) is the date the VAT is actually due — usually the invoice date, but it can be the date of supply or payment if earlier. It decides which VAT period the invoice falls in.
Most templates ignore it; this tool has a dedicated tax-point field, defaulting to the invoice date.
VAT invoice vs VAT receipt
VAT invoice
A request for payment showing the VAT, so a business customer can reclaim it.
VAT receipt
Proof of a payment already made, still showing the VAT — e.g. at the till.
A document aid, not tax advice
This builds a compliant VAT invoice — it doesn't send it, take payment or file your return. Only charge VAT if you're VAT-registered; if you're not, you must not add VAT to an invoice.
The elements here were checked against HMRC guidance (VAT Notice 700 and the VAT invoice rules, August 2026), but confirm your own position — this is a document aid, not tax advice.
Turn it into a connected job workflow
FieldHive keeps the enquiry, quote, job, invoice and payment connected — so it's built from the accepted quote instead of retyped, and the numbers carry through.
