Search ‘toolbox talk template’ and page one splits in two. Some sites give you a library of talks with nothing to record who was there. Others give you a blank attendance sheet with nothing to say. The rest sit behind an app sign-up, a paid Word download, or a 33p checkout.
A toolbox talk needs both halves: the words for the briefing and the record that it happened. This template puts them on one sheet.
Pick a topic, brief the crew, record who was there
Pick a toolbox talk topic
Choose from the library — manual handling, working at height, PPE, COSHH, dust, HAVS, hot works, asbestos awareness and more — or start blank. The starter points fill in; edit them to fit your site.
Add the site and who delivered it
Company, site, date and the supervisor giving the talk. Add your logo so the record is yours, not ours.
Record attendance and download
List everyone present — they sign the printed sheet. Note any questions and actions agreed, then download the A4 PDF free.
A short talk on one safety subject, recorded
HSE describes a toolbox talk as “a short presentation to the workforce on a single aspect of health and safety”. Five to fifteen minutes at the start of a shift or before a higher-risk task, on one topic, to the people doing the work.
There is no law that names a toolbox talk. What the law does require is that you give your workers information, instruction and training and keep it comprehensible (Health and Safety at Work etc. Act 1974 s.2; Management of Health and Safety at Work Regulations 1999 regs 10 and 13), and on construction sites that contractors provide site inductions and information (CDM 2015 reg. 15). A recorded toolbox talk is the everyday way trades evidence that duty — which is why principal contractors, CHAS and other SSIP schemes ask to see them.
Everything the sheet captures
Twelve UK site topics to start from
Manual handling · Working at height · PPE
The three talks every site runs. Starter points written for UK trades, not generic office safety.
COSHH · Dust & silica · HAVS · Noise
The health hazards that cause harm years later — the ones inspectors and SSIP assessors look for evidence on.
Slips, trips & housekeeping · Electrical safety
The everyday ones. Housekeeping is the most common injury on site; electrical is the one that kills.
Fire & hot works · Asbestos awareness · Hot weather
Fire and hot works link to your hot works permit; asbestos awareness is a legal training requirement for trades.
Sits alongside the risk assessment and method statement
The risk assessment identifies the hazards, the method statement sets out the safe system of work, and the toolbox talk is how you brief the crew on both. Build all three on the same free tools and the pack you hand a principal contractor is consistent.
A record aid, not health and safety advice
This template records that a talk happened and gives you starter content to edit. It does not assess your site’s risks, choose your topics for you, or replace training. The person delivering the talk is responsible for what is said and for the site’s own risk assessment.
